Poultry farm record keeping is the daily practice of logging the numbers that tell you whether a broiler or layer shed is on track: feed given and feed left over, water consumed, bird weight, mortality, and shed temperature and humidity. Done properly, it is not a paperwork chore filed away for the accountant — it is the earliest warning system a farm has, because almost every disease outbreak or heat stress event shows up in the numbers before it shows up as dead birds.
The single biggest mistake in poultry farm record keeping is treating it as a weekly or end-of-batch summary instead of a daily habit. A batch that finishes 200 grams under target weight, or loses 4% mortality instead of 2%, almost always had a warning sign in the daily data — a water-intake dip, a feed leftover spike, a two-degree shed temperature swing — that nobody was tracking closely enough to catch in time.

- Feed given and feed refused/leftover (kg) — a rising leftover trend is often the first sign of heat stress or early illness, days before mortality moves.
- Water consumption (litres) — birds typically drink 1.6–2x their feed intake by weight; a drop in water intake usually shows up 24–48 hours before a feed or health problem is visible, making it the single best early-warning number on the sheet.

- Mortality count and cause where known (heat, disease, culling, unexplained) — daily, not weekly, because a mortality spike two days old is much harder to act on than one caught same-day.

- Medication, vaccination and any treatment given, with date and batch/dose — required for traceability and for diagnosing what worked if a health issue recurs.

For broilers, add a weekly sample-weight row (50–100 birds weighed, average recorded) so growth is tracked against the target curve rather than guessed at slaughter. A record filled in from memory an hour later is close to useless for spotting a trend.
Why water intake is the number to watch closest
Of everything on the daily sheet, water consumption reacts fastest to a shed problem. Birds reduce water intake before they reduce feed intake when they are heat-stressed, coming down with a respiratory or gut issue, or reacting to a water-quality problem at the source. A feed-intake drop is usually a day or two behind — by which point the flock has already lost condition.
In practice, this means a farm that tracks feed but not water is reading the warning light after it has already been flashing for a day. A drop of 10–15% in daily water intake against the same age in a previous batch, with no obvious cause like a leak or a blocked line, is worth investigating immediately rather than waiting to see if mortality follows.
Paper register vs. digital tracking: what actually changes
Paper records work, and many well-run Indian farms still use them. But paper has three structural weaknesses that digital tracking fixes, not by being fancier, but by removing manual steps where errors creep in.
First, paper cannot alert anyone. A worrying water-intake drop sits in a notebook until someone reviews it — often at the end of the week, by which point the early-warning value is gone. A digital system with sensors on feed, water and shed conditions can flag a deviation the same day it happens.
Second, paper cannot be compared automatically. Spotting that this batch's day-18 water intake is 12% below the last three batches at day 18 requires someone to pull old registers and do the math by hand — rarely done consistently, even by careful farm managers. A digital log does that comparison instantly.
Third, paper is single-copy and easy to lose or damage — a real risk in a shed environment with dust, humidity and heavy daily handling. Common record-keeping mistakes that cost money
Logging weekly instead of daily — the whole value of a daily register is catching a problem within a day or two, not a week later when it has already cost weight or birds.
Estimating feed and water instead of measuring — 'about half a bag' is not a number you can trend or compare across batches.
Not recording cause of mortality — 'died' without a reason (heat, disease, culled, unexplained) makes it impossible to see a pattern building across a batch or across seasons.
